1. Scope of this Policy
This Privacy Policy explains how Cogent Logistics ("Cogent," "we," "us," or "our") handles personal information in connection with:
- cogentlog.com — this marketing website, including our contact and access request forms;
- Cogent Cloud — our web-based transportation management platform and its modules, including TMS, Shuttle, Storage, Beacon, Connect, and Inspect; and
- Cogent JustDrive — our driver-facing mobile application for iOS and Android.
We refer to these collectively as the "Services." If you use Cogent Cloud or JustDrive through an employer or a carrier, supplier, or shipper that subscribes to our platform, that organization's own privacy practices also apply to your information. This policy does not cover third-party websites or services we link to.
2. Our Role: Controller and Processor
Our role depends on the context:
- We act as a controller (we determine why and how information is used) for visitors to cogentlog.com, prospective customers, people who submit our forms, and the administrative account contacts of our customers.
- We act as a processor (we handle information on a customer's behalf and under their instructions) for the operational data our customers put into Cogent Cloud and JustDrive — including their drivers, dispatchers, employees, shipment records, and their own customers' contact details.
If you are a driver or employee of a Cogent customer and want to access, correct, or delete your information, please contact your employer first. We will assist our customer in responding to your request.
3. Information We Collect
Information you give us
- Contact and inquiry information — name, company, email address, phone number, and the content of messages you submit through our contact and access request forms.
- Account information — name, work email, phone number, job role, employer, credentials, and account preferences for Cogent Cloud and JustDrive users.
- Operational data — the records you and your organization enter into the platform, such as orders, trips, dispatch assignments, customer and vendor records, driver settlement details, invoices, inspection results, inventory, and uploaded documents and images.
- Support communications — emails, tickets, and other correspondence with our team.
Information we collect automatically
- Usage and device data — IP address, browser or app version, operating system, device identifiers, pages or screens viewed, referring URLs, timestamps, and interaction events.
- Log and diagnostic data — error reports, crash logs, performance metrics, and security event records.
- Location data — see the JustDrive section below.
Information from other sources
- Data supplied by your employer or the Cogent customer that provisioned your account.
- Integration data exchanged through Cogent Connect with systems you or your organization authorize — for example load boards, ELD providers, accounting systems, or customer portals.
- Publicly available business information used to qualify and respond to sales inquiries.
We do not intentionally collect Social Security numbers, government identification numbers, health information, biometric identifiers, or payment card numbers through our website forms. Please do not submit them there.
4. Cogent JustDrive Mobile App
JustDrive is used by professional drivers in the course of their work. Because the app is a workplace tool operated on behalf of a carrier, the data it produces is generally accessible to that carrier's dispatch, billing, and management staff.
Location information
With your permission, JustDrive collects the device's precise geolocation, including while the app is running in the background during an active trip. Location is used to:
- generate automated check calls and trip status updates for dispatch;
- provide real-time shipment visibility to your carrier and, where the carrier chooses, to its customers;
- timestamp arrivals, departures, pickups, and deliveries; and
- support mileage, routing, and settlement calculations.
You can grant, limit, or revoke location permission at any time in your device settings. Revoking it will disable automated check calls and real-time tracking, and your carrier may then require manual status updates. We do not sell location data, and we do not use it for advertising.
Camera, photos, and files
With your permission, JustDrive accesses the camera and photo library so you can capture and attach bills of lading, delivery receipts, inspection photos, and defect video. These files are uploaded to your carrier's Cogent Cloud account. We access the photo library only for files you select or capture.
Notifications
With your permission, we send push notifications for trip assignments, dispatch messages, reminders, and document requests. You can turn these off in your device settings.
Other app data
- Trip records, status changes, and timestamps.
- Messages exchanged with dispatch through the in-app inbox.
- Device and diagnostic information used to keep the app stable, including when operating offline and syncing later.
What JustDrive does not do
- We do not sell or share personal information for cross-context behavioral advertising.
- We do not use in-app advertising networks or advertising identifiers.
- We do not access your contacts, call logs, text messages, microphone, or health data.
- We do not track your location when there is no active trip and you have not enabled background location.
5. How We Use Information
- Provide the Services — authenticate users, dispatch and track trips, process documents, generate invoices and settlements, and sync data across modules and devices.
- Support and communication — respond to inquiries, access requests, and support tickets, and send service and security notices.
- Improve and develop — diagnose issues, measure feature usage, and improve reliability, usability, and performance.
- Security and integrity — detect and prevent fraud, abuse, and unauthorized access, and maintain audit trails.
- Marketing — send product news and offers to business contacts who requested information or opted in. You can unsubscribe at any time using the link in the email or by contacting us.
- Legal and compliance — comply with transportation, tax, and recordkeeping obligations, respond to lawful requests, and enforce our agreements.
We do not use customer operational data to train third-party generative AI models, and we do not sell personal information.
6. Legal Bases for Processing
Where the EU or UK GDPR applies, we rely on the following legal bases: contract (to provide the Services you or your employer contracted for), legitimate interests (security, service improvement, and business-to-business marketing), consent (device permissions such as precise location, camera, and notifications, and optional analytics cookies), and legal obligation (recordkeeping and lawful requests). Where we rely on consent, you may withdraw it at any time without affecting prior processing.
7. How We Share Information
- With your organization — data created in Cogent Cloud or JustDrive is accessible to the account that provisioned your access, according to the roles and permissions that account configures.
- With trading partners you authorize — shipment status, tracking, and documents may be shared with the shippers, brokers, suppliers, or receivers involved in a load, as directed by our customer.
- With service providers — vendors who host, secure, and support the Services under contract. See the next section.
- For legal reasons — when required by law, subpoena, or regulation, or to protect the rights, safety, and property of Cogent, our customers, or the public.
- In a business transaction — in connection with a merger, acquisition, financing, or sale of assets, subject to this policy's commitments.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
8. Service Providers
We rely on a small set of established vendors, including:

Service providers are permitted to use personal information only to perform services for us. A current list of subprocessors used for a specific subscription is available to customers on request.
9. Cookies and Analytics
cogentlog.com uses cookies and similar technologies for two purposes:
- Strictly necessary — session management, security, load balancing, and anti-forgery protection. These cannot be turned off.
- Analytics — Google Analytics 4 helps us understand which pages are useful and where visitors have trouble. Google reCAPTCHA is loaded on pages with forms to block automated abuse; its use is governed by Google's own privacy terms.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics using Google's browser add-on. We do not respond to Do Not Track signals, as there is no common industry standard for them. The JustDrive mobile app does not use advertising cookies or tracking identifiers.
10. Data Retention
- Customer operational data is retained for the life of the subscription and, unless a customer instructs otherwise, deleted or returned within a reasonable period after termination.
- Trip, settlement, and inspection records may be retained longer where transportation, tax, or safety regulations require it.
- Website inquiry data is retained for as long as needed to respond and to maintain a record of the business relationship.
- Logs and diagnostics are retained on a rolling basis for security and troubleshooting.
11. Security
We use encryption in transit (TLS), role-based access controls, network and application security headers, least-privilege administrative access, logging, and regular patching to protect the Services. No system is perfectly secure; you are responsible for safeguarding your credentials and for promptly reporting any suspected compromise to us.
12. Your Privacy Rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct inaccurate information;
- delete information, subject to legal and contractual retention obligations;
- obtain a portable copy of information you provided;
- object to or restrict certain processing;
- withdraw consent, including device permissions; and
- opt out of marketing email at any time.
To exercise these rights, email privacy@cogentlog.com. We will verify your identity before responding and will not discriminate against you for exercising a privacy right. If your data was entered by an employer or carrier, we will forward your request to that organization.
13. U.S. State Privacy Rights
Residents of California, Colorado, Connecticut, Indiana, Texas, Virginia, and other states with comprehensive privacy laws have the rights listed above, along with the right to appeal a refused request. In the preceding twelve months we have collected the categories of information described in Section 3 for the business purposes described in Section 5. We have not sold personal information or shared it for cross-context behavioral advertising, and we do not knowingly do so for anyone under 16. To appeal a decision, reply to our response or email privacy@cogentlog.com with "Privacy Appeal" in the subject line.
14. International Transfers
We operate from the United States and host the Services on infrastructure located primarily in the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the U.S., where data protection laws may differ from those in your country. Where required, we use Standard Contractual Clauses or another lawful transfer mechanism.
15. Children's Privacy
The Services are business tools intended for use by adults in a professional capacity. They are not directed to children, and we do not knowingly collect personal information from anyone under 16. If we learn that we have, we will delete it.
16. Changes to this Policy
We may update this policy as our Services and legal obligations evolve. We will revise the "Last updated" date above, and for material changes we will provide additional notice through the Services or by email. Continued use of the Services after an update means you accept the revised policy.
